Trade fairs start again

From September, trade fairs can take place again in Bavaria. Important: The ban on big events until end of the year 2020 issued by the federal and state governments does not apply to trade fairs, but explicitly refers to events at which contact tracing and hygiene regulations cannot be observed. These big events include folk festivals, major concerts or festivals.  

Dear exhibitors of f.re.e,

we are all in enormously challenging times. Trade fairs are an indispensable platform for the economy, especially in times of crisis. Messe München is currently working on concepts to enable events to take place in the autumn with a secure implementation plan. With regard to the requirements for the implementation, we are constantly in close contact with the responsible authorities. German trade fairs already have a very high standard of hygiene, which we will continue to improve.

We are pleased that many of you have already registered your participation in f.re.e. We will do everything in our power to offer you another unique trade fair experience - whatever the conditions in February 2021 may be.

Information regarding the hygiene concept

To ensure that trade fairs can take place safely and successfully even during the coronavirus pandemic, Messe München and other Bavarian trade fair companies have worked out a safety and hygiene concept, which was officially ratified by the Bavarian state government on 23 June 2020. This concept ensures that trade fairs can start again from September 2020. Essentially, it is based on three topics:  

  • Social distancing 
  • Hygiene 
  • Traceability of all participants  

The most important points include the general rule of 1.5 meters distance on the whole grounds. Where this distance cannot be maintained, and generally indoors, a mask is mandatory. The traceability of all participants is guaranteed by pre-registration and our admission system.

FAQs Exhibitors – measures relating to the safety and hygiene concept (last updated September 11, 2020)

Social distancing

In general, the minimum distance of 1.5 meters must be maintained on the trade fair grounds. Admission is restricted to the turnstiles. This way we are always informed about how many people are on the event area. The authorities' requirements regarding the number of visitors allowed can thus be met. This maximum number of visitors is always based on the size of the event area, thus ensuring the necessary conditions for maintaining the minimum distance of 1.5 meters.

In the stand area, a mouth-nose cover must be worn in principle. This does not apply at the table, as long as the minimum distance of 1.5 meters can be kept safely. The contact details of these contact persons must be recorded separately by the exhibitor.

For visitors arriving by public transport, the current rules regarding local public transport apply.

At known hubs such as the entrance area or cloakroom where lines can occur and large numbers of visitors congregate, special rules will apply, and the floor will be marked accordingly. Employees will also receive infection protection training.

The minimum distance of 1.5 meters also applies in forum and conference areas. Measures such as access control and suitable seating etc. will ensure that the minimum distance can be maintained.

Hygiene

Messe München has its own ventilation concept. Our exhibition halls and the ICM - International Congress Center Munich are equipped with modern ventilation systems that operate with the highest possible proportion of fresh air and the lowest possible proportion of circulating air. In addition, the indoor air is increasingly replaced by fresh outdoor air.

Currently, a mouth-and-nose cover must always be worn in the entire interior area of the trade fair, regardless of whether the minimum distance can be maintained (exception at the trade fair stand at tables see item " Social distancing- At the trade fair stand"). Messe München provides mouth-nose covers for trade fair participants who do not have their own masks.

If the minimum distance of 1.5 meters cannot be maintained, a mask must be worn in outdoor areas on the trade fair site, e.g. the atrium.

In the booth area, a mouth-nose cover must be worn in principle. This does not apply at the table, as long as the minimum distance of 1.5 meters can be kept safely. The contact details of these contact persons must be recorded separately by the exhibitor.

The exhibitor must name a person present at the stand as a contact person for ensuring compliance with the hygiene and clearance rules, such as the disinfection of useful areas. Exhibitors are required to maintain regular hygiene, e.g. of exhibits. Our service partners offer support here.

Our sanitary facilities will be cleaned at regular intervals. Hand washing and disinfection facilities with adequate distancing are provided.

Disinfectant dispensers will be provided at all key locations on the site. Surfaces which are touched regularly (e.g. counters, tables, handrails) will be cleaned more often.

All doors with the exception of fire doors will be kept open at all times in order to reduce contact with surfaces.

Traceability of all participants

By purchasing a ticket online or using their exhibitor or service partner pass, all participants have registered in advance in order to receive their access authorization. This ensures that contact can be made immediately with the event participants if a corona infection is known.

At exhibition stands at the table, the mouth-nose cover may be removed provided that the minimum distance of 1.5 meters can be safely maintained. The contact data as well as the attendance times of these conversation partners must be recorded separately by the exhibitor.
The exhibitor is free to decide how this registration is carried out: Either with a digital registration tool of their own or with a lead tracking solution that Messe München makes available to its exhibitors free of charge. Alternatively, the data can be entered manually, e.g. using a list or business card.

Exhibitors can call the Messe München hotline for further questions about the safety and hygiene concept. By telephone on +49 89 949 11400 or by e-mail corona.support@messe-muenchen.de . The service times are as follows: Monday to Thursday 09:00 to 17:00 and Friday 09:00 to 16:00.

For the organizer there is a benchmark for persons, which is based on the venue space. Measured by the number of visitors to our own trade fairs in recent years and due to the size of the available venue space, no visitor restrictions can be assumed.

In the catering areas of Messe München, the general rules of Bavarian gastronomy apply.
You are also welcome to set up your own catering area at your trade fair stand. The rules of Bavarian gastronomy also apply to this area. The most important rules are as follows:

  • Up to 10 people may sit at one table.
  • During the stay at the dining table NO mouth-and-nose cover must be worn.
  • The contact details of visitors in your catering area must be recorded separately.
  • The individual tables must have a minimum distance of 1.5 meters to each other or be separated by appropriate plexiglass partitions.

Catering at trade fair stands is allowed. The rules for Bavarian catering establishments apply – our service partners are familiar with these.

There are no mandatory requirements for stand construction.

  • Due to the basic requirement to wear a mouth-and-nose cover, there are no conditions regarding the maximum number of persons on the stand.
  • However, the general distance rules do apply. These should be considered during stand construction, e.g. when planning meeting rooms or tables. In this case, care should be taken to ensure that the minimum distance of 1.5 meters is maintained and that it is possible to remove the mouth-nose cover.
  • For the catering area at the exhibition stand, the basic requirements for catering must be met, e.g. plexiglass safety barrier at serving points.

Messe München has a parking concept with enough parking spaces. Thanks to big events, we are experienced in organizing increased traffic.

The medical service is constantly present at events—from setup throughout the entire trade show and stand dismantling period. The first-aid stations are located in the main entrances West and East, as well as in Hall C4, depending on hall occupancy. Paramedics and physicians will treat medical emergencies directly on the spot. If necessary, the public rescue service (ambulance) is called in to provide assistance. There is also a hygiene official on site.

Exhibition specific topics

The application is a declaration of intent to determine demand and is not binding until you confirm the placement proposal.

We are working on hygiene concepts for the upcoming events. Therefore, we will - unlike usual - not start planning until the beginning of September 2020. We are planning hall by hall and will then send you the placement proposals as soon as possible.

You will find the deadline for confirmation in your placement proposal.

A cancellation free of charge is possible as long as you have not signed your placement proposal. After your confirmation of the placement, the cancellation conditions apply according to our terms of participation.

If an event organised by Messe München is cancelled, exhibitors will be refunded the participation fee already paid. However, costs for services booked or already provided will be retained. In the event of postponement, payments already made will be transferred 1:1 to the alternative date. With regard to costs of participation in the trade fair which are not paid directly to Messe München, in particular hotel costs, Messe München will use its channels and networks to work towards the most accommodating arrangements possible in the interests of all exhibitors. In any case, however, please contact your contractual partner directly, e.g. the relevant hotels. Messe München cannot influence these specific individual contractual relationships.
